Dormaflow Platform Terms of Service

Please read these terms carefully. By using Dormaflow, you agree to be bound by these terms and any policies referenced here.

1. Overview

Dormaflow is a platform that helps accommodation operators manage properties, reservations, guest payments, and day-to-day operations.

2. Payment Processing & Platform Fees

2.1 Payment Processor Terms

Payments processed through Dormaflow may rely on third-party payment processors, including Stripe where enabled for your account. By enabling payment functionality, you may also be required to accept the applicable processor terms, privacy notices, and onboarding requirements.

Payment processors collect and handle payment credentials directly under their own terms. You are responsible for keeping payout, settlement, tax, and account information accurate and up to date.

2.2 Application Fees

Dormaflow may charge application or platform fees on payments processed through the platform.

  • The applicable fee will be shown in your account, onboarding flow, booking details, or financial reports before use.
  • Fees may vary by plan, property, payment flow, or platform configuration.
  • Fees may be deducted from payouts or invoiced separately, as disclosed in the relevant workflow or commercial terms.

3. What Operators Can & Cannot Sell

3.1 Permitted Services

You may use Dormaflow to accept payments for lawful services such as:

  • Nightly room bookings and bed reservations
  • Additional guest services such as late checkout or locker rentals
  • Activities or packages offered through authorized partners
  • Food, beverage, laundry, storage, and similar on-property amenities

3.2 Prohibited Services

You may not use Dormaflow payment functionality for:

  • Illegal goods or services
  • Adult services or content where prohibited
  • Weapons, controlled substances, or counterfeit goods
  • Gambling, betting, or fraudulent schemes
  • Services that violate local law, sanctions, or payment processor rules
  • Resale or routing of third-party bookings in a way that breaches other agreements

4. Refunds, Cancellations & Disputes

4.1 Your Policies

You are responsible for creating, publishing, and honoring your own cancellation, refund, and guest service policies. Dormaflow does not draft legal terms for you or enforce your policies on your behalf.

Your policies should:

  1. Be shown clearly before payment or booking confirmation
  2. Comply with local consumer protection and travel laws
  3. Be applied consistently to guests in similar situations

4.2 Processor Handling

Refunds, reversals, and chargebacks are handled subject to the applicable payment processor rules, banking timelines, and your account configuration.

  • Additional processor fees or non-refundable platform fees may apply if disclosed at the time of charge.
  • You are responsible for responding to disputes and supplying requested evidence within processor deadlines.
  • Repeated disputes, fraud signals, or abuse may lead to reserves, feature restrictions, or suspension.

5. Data & Guest Privacy

5.1 Your Responsibilities

You must:

  • Collect, use, and disclose guest data lawfully
  • Publish any notices or policies required for your property or market
  • Limit access to personal data to authorized personnel and service providers
  • Respond to guest rights requests where required by law
  • Use Dormaflow in a way that matches your own compliance obligations

5.2 Dormaflow's Role

Dormaflow acts as a software provider and may process, store, or transmit data to:

  • Operate the service and connected workflows
  • Support your account and investigate misuse or security issues
  • Maintain billing, audit, fraud, and operational records
  • Comply with legal, regulatory, or law-enforcement requirements

Any export, deletion, anonymization, or retention tooling may vary based on product configuration, applicable law, and the need to preserve records for billing, security, or disputes.

6. Suspension & Termination

Dormaflow may suspend, limit, or terminate access if:

  • You violate these terms or applicable law
  • You engage in fraud, abuse, or prohibited payment activity
  • Your account creates processor, compliance, or security risk
  • Required commercial amounts remain unpaid
  • A regulator, court, or payment partner requires action

If access is suspended or terminated, payout timing, reserves, refunds, data retention, and any continued processing may depend on processor rules, applicable law, and any separately agreed commercial terms.

7. Disclaimers & Liability

7.1 Service Disclaimer

Dormaflow is provided "as is" and "as available." We do not guarantee:

  • Uninterrupted availability or error-free operation
  • Error-free payment processing by third-party providers
  • Prevention of all fraud, abuse, or chargebacks
  • Compatibility with every external system or local requirement
  • Specific booking volumes, revenue outcomes, or legal results

Any liability limits or remedies that apply will be governed by mandatory law and any separately agreed commercial terms.

7.2 Indemnity

You agree to indemnify Dormaflow against claims arising from:

  • Your violation of these terms or applicable law
  • Your property operations, listings, policies, or guest disputes
  • Your handling of personal data or regulated information
  • Your misuse of payment services, processors, or third-party integrations

8. Platform Rules & Expectations

8.1 Honest Listings

  • Property descriptions, photos, and amenities must be materially accurate
  • Pricing and availability shown to guests must not be misleading

8.2 Guest Communication

  • Provide clear booking, check-in, and support information
  • Communicate with guests lawfully and without discrimination

8.3 Operational Standards

  • Maintain safe, lawful, and operationally accurate property information
  • Honor confirmed bookings unless a lawful exception applies

8.4 No Circumventing Payments

  • Where Dormaflow designates a payment flow or connected processor for a booking, you must not bypass it to avoid platform, processor, or reporting obligations.
  • Do not request off-platform payment where the platform requires in-flow collection.

9. Changes to Terms

Dormaflow may update these terms from time to time. Updated terms may be posted on this page, surfaced in product, or communicated by email where appropriate. Continued use of the platform after an update takes effect constitutes acceptance of the updated terms.
