Dormaflow is built for Southeast Asian hostel connectivity. Wi-Fi drops, mobile networks are slow, OTA integrations lag. We don't pretend these don't happen. We design for them.

Let's be clear about what Dormaflow is and isn't

  • Zero-connectivity capable (syncing requires internet)
  • A guarantee of 100% uptime (no service is)
  • Replacing your backup power or Wi-Fi router
  • Handling server failures without downtime
  • Working without any internet for days
  • PCI-compliant on its own (Stripe handles payments)
  • A replacement for proper infrastructure

Stale-But-Safe Data

When Wi-Fi drops, you see the last confirmed state. Not blank screens.

Example: Check-in During Poor Connection

  1. Staff opens app. Occupancy shows 23/30 beds (last synced 5 min ago).
  2. Wi-Fi drops during guest check-in. Staff completes the check-in form locally.
  3. Bed assignment queued locally. Occupancy updates to 24/30 on the phone screen (not yet synced).
  4. "Connection degraded" banner shows. Staff knows the update is pending sync.
  5. Wi-Fi reconnects 2 minutes later. Dormaflow syncs the check-in automatically.
  6. Server confirms, occupancy now reflects the new guest across all devices.

Result: Zero customer impact. Staff never stopped working. No data loss.

This is why we show stale data instead of blank screens. The last confirmed state is always safer than no state at all. It prevents guest frustration, keeps operations moving, and reduces errors born from uncertainty.

Queued Actions & Automatic Retry

Staff actions queue locally. Retries happen automatically when you reconnect.

When your internet is poor or offline:

  • Check-ins, bed assignments, and housekeeping updates are saved locally on the phone.
  • A "pending sync" indicator shows staff what hasn't synced yet.
  • When reconnected, Dormaflow automatically retries all pending actions.
  • If a retry fails (e.g., the bed was already assigned), you get a clear error and can fix it manually.
  • Manual overrides are always available—you can force-correct a stale state yourself.

You're never stuck. There's always a path forward, whether automatic retry works or you need to manually fix something.

OTA Sync Degradation

Your bookings remain visible even if OTA sync is delayed.

Dormaflow syncs to Booking.com, Hostelworld, and other OTAs. When that sync is delayed or fails:

  • Dormaflow continues to show your current occupancy in-app.
  • OTAs may show outdated availability temporarily.
  • A status indicator shows whether OTA sync is active or delayed.
  • You can manually trigger a resync anytime.
  • Once connectivity recovers, Dormaflow catches the OTA systems up to your actual state.

Double-booking risk is minimized because Dormaflow's internal state is always the source of truth. OTA updates are eventually consistent, not immediate-sync dependent.

Payment Processing During Connectivity Issues

Stripe is required for direct bookings, but you have fallbacks.

Direct bookings through your Dormaflow website require Stripe connectivity to process payments. If Stripe is unreachable or your internet is down:

  • The booking page shows a "payment temporarily unavailable" message.
  • You can still check in guests with cash or other offline payment methods.
  • Dormaflow will notify you when payments come back online.
  • Walk-in check-ins work fully offline—only Stripe-processed direct bookings are affected.

You're not blocked from operating. You just can't process card payments until connectivity returns. This is honest about dependencies without pretending magic can happen offline.

Manual Recovery Controls

You stay in control. You can override and fix things yourself.

From the operational dashboard, you can:

  • Force-sync OTA channels: Manually trigger a resync if Booking.com is out of date.
  • Override bed status: If a bed is incorrectly marked clean or occupied, fix it immediately.
  • Clear pending retry queues: If a check-in queued but sync failed, acknowledge and retry manually.
  • Reassign occupancy: If occupancy counts drift, recalculate and correct them.
  • View audit logs: See exactly what happened and when, for every action.

No waiting for support. No feeling locked out of your own data. You fix it and move on.

What to Expect: Common Scenarios

Spotty 4G on your phone

App remains responsive. Check-ins complete locally and sync when signal improves. No impact on operations.

Router reboots during checkin rush

Staff app queues guest check-ins locally for 5–10 min. As soon as Wi-Fi returns, syncs automatically. Zero guest-facing disruption.

Slow international connection (latency >500ms)

App feels slower to sync but continues working. Stale data shows while waiting for updates. Manual retries available.

OTA (Booking.com) is unreachable for 2 hours

Your app shows correct occupancy. OTA stays offline. Status indicator shows sync is pending. When OTA comes back, you resync manually or wait for automatic catch-up.

Stripe payment processor is down for 30 min

Direct booking page shows unavailable. You can check in guests offline with cash. Cardless check-ins still work fine.

You lose internet for 4 hours

App continues to show stale-but-safe occupancy. Staff can check in walk-ins and mark beds clean locally. Once reconnected, everything syncs and resolves.

What You Should Still Do

Dormaflow handles connectivity gracefully, but you're responsible for good infrastructure:

Network

  • Use a quality router (dual-band, recent model)
  • Test your Wi-Fi speed regularly
  • Consider backup 4G/LTE router for critical failover

Power

  • Keep devices charged or plugged in during service hours
  • Use UPS for servers/routers (optional but recommended)
  • Have battery packs for staff phones

Monitoring

  • Check the operational status dashboard daily
  • Know which Dormaflow features depend on internet
  • Monitor OTA sync status from the dashboard

Backups

  • Export your data monthly
  • Keep a local copy of floor plan & room assignments
  • Know how to manually override beds if needed
